Insurance is the most complex part of the dental phone call. Patients rarely just ask "do you take my insurance?"—they ask about specific caveats, out-of-network benefits, or niche local plans. If your AI can't navigate these nuances, your team is stuck cleaning up the scheduling mess later.
We have expanded our Carrier Management tools to include Custom Carriers, giving you total control over how the AI discusses insurance with your patients.
Why this matters
Accepting the "wrong" insurance or failing to mention a critical caveat (like "we only take PPO, not HMO") leads to frustrated patients and lost production. Most AI tools only recognize a standard list of major carriers. By adding custom carriers, you ensure that even niche union plans or local employer-specific insurers are handled with the correct office logic.
How it works in practice
You can now go beyond the "standard list" in your dashboard. If your office works with a specific local plan, you can add it as a Custom Carrier. For every carrier—standard or custom—you can set three logic paths:
Accept: AI proceeds with booking.
Deny: AI informs the patient and offers your customized instructions. In general, the AI will lead the patient towards not booking an appointment unless they consent to other criteria (e.g. "you may have to pay out of pocket").
Warn: AI provides specific instructions (e.g., "We work with this carrier only if you have out-of-network benefits").

What to evaluate before choosing a solution
Flexibility: Can you add plans that aren't in a pre-populated database?
Communication: Does the AI deliver "warnings" clearly before the patient commits to a slot?
Ease of Use: Can your insurance coordinator update these rules without technical help?
Common mistakes or risks
Vague insurance answers are the leading cause of "no-shows" or billing disputes. Avoid systems that only give a "Yes/No" answer to insurance questions. The power is in the "Yes, but..."—the ability to pass along the specific nuances your office requires.
How Powervox approaches this
Powervox is designed to handle the messy reality of dental insurance. Our custom carrier feature ensures that your AI is never "guessing" about eligibility. You provide the rules, and the AI follows them with 100% consistency, acting as a filter that protects your schedule.
FAQ
How many custom carriers can I add? There is no limit. You can add as many local or niche plans as your office recognizes.
Can I set different rules for different providers? Currently, carrier rules are set at the practice level, but you can use the "Warnings" field to specify provider-specific logic.
What happens if a patient mentions a carrier I haven't configured? The AI will recognize it doesn't have a specific rule for that carrier and will intelligently ask the patient to clarify, or offer other solutions such as speaking with the team for a live verification.
