The final bottleneck in the patient experience is often the paperwork. Even with a perfect booking experience, a patient who has to spend fifteen minutes with a clipboard upon arrival creates a "front-desk clog."
Powervox is excited to announce the Beta release of Patient Forms, a new add-on designed to digitize and automate the entire intake process.
Why this matters
Manual data entry is prone to error and consumes hours of staff time. By moving to digital intake forms that sync directly with your Practice Management System (PMS) such as Dentrix, you reduce the time patients spend in the waiting room and ensure your clinical records are accurate before the patient even walks through the door.
How it works in practice
When a new patient books an appointment through the AI Receptionist, the system can automatically trigger a text or email containing their digital intake forms. Patients complete the forms—including insurance details and signatures—on their own devices. For Open Dental, and Dentrix users, this data syncs directly back to the patient's file, ready for review. You can also review this information in your Powervox admin site at any time.
Support for Dentrix Ascend and Eaglesoft is coming soon.
What to evaluate before choosing a solution
Workflow fit: Can forms be triggered both automatically (by AI) and manually (by staff)?
Compliance: Are the forms secure and handled according to industry standards?
Integration depth: Does the data actually sync into your PMS, or does it just send you a PDF?
Common mistakes or risks
The most common mistake is using "dumb" forms that require the staff to still type the information into the PMS. A "smart" form should populate the fields in your software automatically to truly save time.
How Powervox approaches this
Powervox Patient Forms are built for speed and integration. Currently in Beta, we are focusing on creating a seamless loop between the initial AI call and the final signed document. Our initial rollout focuses on Open Dental and Dentrix, with a focus on deep data synchronization rather than just simple file attachments.
